To ensure that your visit to Richmond and the experience of the conference is as enjoyable as possible, here is a list of Frequently Asked Questions which will hopefully provide you with all the information you need.
We encourage you to read through this before you attend. Please contact us if you have a question that we haven’t answered.
About Conference
The APRS Conference 2025 will be held at the Amora Hotel Riverwalk in Richmond, Victoria.
Melbourne Airport (Tullamarine) is approximately 25 km from Richmond. Attendees can take a taxi, rideshare service like Uber, or book an airport transfer. The SkyBus offers direct services to Melbourne’s Southern Cross Station, with connecting trains and trams to Richmond.
Yes. Undercover parking is available at Amora Hotel Riverwalk Melbourne. Charges apply.
We are pleased to offer self-car parking at AUD$30 per night (valid between 12pm until 1pm the next day), per vehicle for conference delegates in the hotel car park.
Car parking can be pre-booked or available on arrival. Please click here to pre-pay for parking. Please note that this is a booking only, and no specific car spaces are reserved.
On arrival to the hotel, the car park can be found off River Street. Please proceed to the boom gate where your licence plate will be recognized and the gate will open. Parking is available along the driveway or continue to the roller door, which will automatically open to the basement car park. There is elevator access to the Ground Floor where Reception is located.
If you have not pre-booked, when checking in, please inform the staff of your car registration number, as the boom gates have number plate recognition.
Once registered into the system, you will be able to drive in and out until check-out day at 1:00pm.

Charging Stations – There are 2 Tesla 6 kW charging stations on Level 1 of the underground car park for guests’ convenience.
Dress code is smart casual.
The members of the conference organising committee and Leishman Associates accept no liability for personal accident of loss or damage suffered by any participant, accompanying person, invited observer or any other person by whatever means. Nor do we accept liability for any equipment or software brought to the conference by delegates, speakers, sponsors or any other party. Please protect your personal property. Do not leave laptops, cameras, and other valuable items unsecured. Be conscious of individuals who appear out of place and do not wear a conference name badge. Advise Leishman Associates staff if this does not occur.
All delegates and exhibitors will be provided with a name badge, which will give you access to all sessions. Please ensure you always wear your name badge.
If you have advised Leishman Associates of any special dietary requirements, the caterers at each function have been provided with these. A special buffet table will be set during the day for special diets. If you are unsure, please see the staff at the Registration Desk.
Free wireless internet access is available for the duration of the Conference. The password and login details will be available closer to the Conference.
PLEASE NOTE: The internet is not to be used to view or download any illicit material, including movies, music etc.

Full Conference Registrations – include catering for morning tea, lunch and afternoon tea, entry to three days of technical sessions and name badge as well as entry to the Welcome Reception and Conference Dinner.
Day Registrations – includes catering for morning tea, lunch and afternoon tea, entry to sessions on the day specified and name badge.
Cancellations must be received in writing, via email to Leishman Associates.
Cancellations will not be deemed to be received until you have a written confirmation from Leishman Associates. If you have not received an acknowledgement email within two business days, please contact Leishman Associates on (03) 6234 7844.
You will only be entitled to a refund or partial refund as set out below:
Your cancellation – if you cannot attend the following cancellation terms will apply
- If you notify us by email before 5pm on the date that is 60 days before the Event commences, you must pay a cancellation fee of $150.00 (including GST) and if, when you give us that notice, you have paid more than that sum, we will refund the balance; or
- If you notify us by email before 5pm on the day that is 30 days before the Event commences, you must pay one half of the full cost of your registration (plus GST). If, when you give us that notice, you have paid more than that sum, we will refund the balance; and
- You may cancel your registration after 5pm on the date that is 30 days before the Event commences, but you will not be entitled to a refund
Reservations require a valid credit card to secure the booking. Guests are to pay the hotel directly at the time of check-in. All accommodation rooms cancelled within 30 days or no shows, will incur a 100% cancellation fee.
Please email Leishman Associates to cancel or change your accommodation prior to the Conference. If you need to cancel your accommodation booking within 30 days of your arrival date any cancellation fees will be subject to the hotel cancellation policy. If you arrive 24 hours later than your indicated arrival day, charges will apply.
If you alter your accommodation booking after you have checked in, please deal directly with the hotel.
A delegate list will be emailed out a week prior to the conference. Printed delegate lists will not be available at the conference. If you had selected privacy required when completing your registration form, your name will not appear on the list.
Any changes to the Conference program will be announced during housekeeping notices each morning. You may also check with Leishman Associates staff at the Registration Desk.
Please bring your PowerPoint presentation with you when you register. All presentations need to be 16:9 in ratio.
All speakers should present themselves to the Audio-Visual Control Desk at least 2-3 hours prior to their scheduled presentation time, to upload their presentation.
Speakers are also requested to assemble in their session room 10 minutes before the commencement of the session, if possible, to meet with their session chair and to familiarise themselves with the room and the audio-visual equipment. A technician will be present in the room at all times. There will be facilities to test and modify your presentation if required.
During the break prior to your session, it is highly recommended that speakers go to their room and introduce themselves to the chairperson of their session. Each chairperson will be in their room at least 10 minutes prior to the start of the session.
You can also check that your presentation is working correctly with the AV technician in the room.
If you are a chairperson, you will receive chairpersons’ guidelines when you register at the registration desk. If you have additional questions, please contact Leishman Associates.
As a courtesy to other delegates, please ensure that all mobile phones are turned off or in silent mode during all sessions.
Delegates are not permitted to use any type of camera or recording device at any of the sessions unless written permission has been obtained from the relevant speaker.
ARPS 2025 reserves the right to amend or alter any advertised details relating to dates, program and speakers if necessary, without notice, because of circumstances beyond their control. All attempts have been made to keep any changes to an absolute minimum.
